How does editing a Users record work?Printable

The question of who can edit the personal data of other Users has been a thorny one. Thorny because of the balance between ease of use, access to personal information, and authority to edit personal information. Below are the techniques that have been adopted.

The second difficult question has been who can designate which Roles a User can have?

Creating, Editing, Deleting Users

  • Any User can edit their own data. They do so via Services:Profile. A User can not Delete themselves.
  • TeamStaff can create User Records. They can create records via TeamStaff:Manage-Users or TeamStaff:Registration-Add new Player, Add new Parent, Add TeamStaff functions. The Coach can edit the User Records they create via the Manage-Users function. The Coach can not delete User Records.
  • Any Visitor to the website can create a record. They do so via Logon:Register.
  • A Parent can add a Player record. See Parent:Player-Add new Player. A Parent can edit a Player. The Player must be associated with that Parent. See Parent:Players

Assigning Roles to Users

  • Any User can select and deselect the Role of Parent from their Record.
  • When a TeamStaff uses Add New Player, the User gets the Role of Player. When a TeamStaff uses Add New Parent, the User gets the Role of Parent. When a TeamStaff uses Add TeamStaff, you can select one or more of Coach, Manager and Parent. A TeamStaff can add and subtract the Roles from the Users they create via TeamStaff:Manage-Users
  • Visitors that create a User record via Logon:Register can select Parent, Coach or Manager Roles. These Roles must be authorized by an Administrator (Site Manager) before a Password is issued. The Parent Role is routinely authorized. TeamStaff roles (Coach or Manager) are not authorized without some other indication that the individual is associated with a legitimate team.

Details: TeamStaff Edit a User Record

TeamStaff can edit the record of any Player on their team. They can get to the Player record by clicking on the Key# to the left of the Player's name in TeamStaff:Manage-Users.

Click on the appropriate tab. Edit the necessary data using your mouse, delete keys, etc. Click on the "Update" button.

If you don't want to save your changes, click on anything in the Table of Contents along the left hand edge of your screen.

Some Parents and Players are available for you to edit via the TeamStaff:Manage-Users function. This function is in the Table of Contents along the left hand side of your screen.

Every User record includes a field showing who created that record. The individual that created a record has the ability to edit that record. So if you added John Doe as a Parent, you can edit John Doe's record. However, if John Doe was already in the database and you simply selected him, you can not edit his record.

However, if a User has logged on recently, they are deemed to be an active User of the database and they should be responsible for their own contact information. Once you think about it, it is pretty intuitive that Users should be responsible for their own Profile. So if you have a Parent, Coach, Manager or other User that needs to have their contact information updated, ask them to log on to do so.

If you logged on as a different User, then the Created by field will not be in your name. Logging on as a different User is frowned upon.

Remember. Any User can edit their own record. Any Parent can edit the record of their child.
