Membership

Teams are the members of the Redwood League. Teams must belong to Clubs and the Clubs represent their team members on the Redwood League Board.

Clubs interact with their community and municipalities to coordinate practice and game field scheduing in support of their teams. Clubs have responsibilities toward their teams, the Redwood League, District 2 and CYSA-N.

The Redwood League can require Clubs to annually affiliate with the League. Failure of the Redwood League to require affiliation in any year does not preclude the Redwood League from requiring affiliation in subsequent years.

This document describes, in bullet outline form, the club information and procedures that may be required to be reviewed annually by the Redwood League in order for a club to be recognized by the League.

Organic Documents

  • The Club must have a Constitution and By Laws and must provide a copy to the Redwood League.
  • The Club must notify Redwood of any change to organic documents within 60 days following its enactment.
  • Redwood must certify that the organic documents do not appear to contain any provision that is in contravention of published CYSA Articles Bylaws, Rules, Procedures and PIMS.

List of Club Officers

  • The Club must submit a list of Officers with name, title, email, and phone.
  • Officers must include a Treasurer, see Financial requirements below.
  • The Club must notify Redwood, and at CYSA's request, the CYSA office, of any change in Club Board.

Club Minutes

  • The Club must maintain minutes of its actions and decisions.
  • The Club must make the minutes available to the public.

Club Legal Status

  • If incorporated, the Club must be in good standing under the laws of the jurisdiction of its formation.
  • If unincorporated, the Club must be in compliance with applicable laws of its governing jurisdiction.

Club Financial Requirements

  • All funds payable for the registration of players, coaches, managers, trainers, or administrators, or otherwise payable to Redwood League, District 2, or CYSA must be delivered directly to the League by such persons in the form of a check made payable to Redwood League or CYSA, as appropriate.
  • Each club shall appoint a treasurer, who shall report to the Club's Board of Directors or other governing authority.
  • The duties of the Club Treasurer should be similar to those outlined in the following 'Duties of the Treasurer' section.
  • Each Club shall require that its treasurer report to the Club Board, on not less than a monthly basis, the financial condition of the Club, including a reconciliation of accounts, and that all financial records be made available to the Club Board and to any member of the Club upon request.

Duties of the Club Treasurer

  • Have charge and custody of, and be responsible for, all funds and securities of the Club, and deposit all such funds in the name of the Club in such banks, trust companies or other depositaries as shall be directed by the Board of Directors.
  • Receive, and give receipt for, monies due and payable to the Club from any source whatsoever.
  • Disburse, or cause to be disbursed, the funds of the Club as may be directed by the Board of Directors, taking proper voucher for such disbursements.
  • Keep and maintain adequate and correct accounts of the Club's properties and business transactions, including accounts of its assets, liabilities, receipts, disbursements, gains and losses.
  • Exhibit at all reasonable times the books of account and financial records to any director of the Club, or to his or her agent or attorney, on request therefore.
  • Render to the President and directors, whenever requested, an account of any or all of his or her transactions as Treasurer and of the financial condition of the Club.
  • Prepare, or cause to be prepared, and certify, or cause to be certified, the financial statements to be included in any required reports.
